How Does an Institution Continue to Thrive for 800 Years?

800 years!  It’s hard to imagine that there are organisations that have existed 800 years or more.

 

For a North American, such as myself, I’m certain it’s even more difficult to imagine, than for those that reside in continents steeped in ancient history.

 

In the academic world, there are only 4 institutions in the world formed as degree granting universities that have existed 800 years or more:

 

Università di Bologna formed in 1088;

Université de Paris formed around 1150 ;

University of Oxford was officially formed in 1167, however teaching began there almost 100 years earlier;

University of Cambridge was established in 1209, and is celebrating it’s 800th anniversary this year.

Six weeks of blogging rules that also apply to Twitter - Week 2

For the next few weeks I am providing tips for your blogging, which also benefit the Twitter users that want to drive more traffic back to their websites.

 

Tip 2 – Don’t Flood Readers with Posts

 

Certain types of blogs have different level of posting frequency.  Unless you run a news blog that needs to be updated multiple times per day, try to find a nice posting schedule that you can keep to.  I tend to post around one to two times per week on my main sites.   Three to four posts per week on your main sites is still an acceptable number; I could do more, but only if I really have something to say.

 

Twitter tip:   Overactive users tend to get “unfollowed”.  This has been minimized by tools like Tweetdeck, but if you are tweeting 10x per minute (some people really do this) then you are going to clog up the twitter ”stream” and people will stop wanting your updates.

Aberdeen used three key performance criteria to determine the Best in Class; Industry Average and Laggard organizations in leveraging Web 2.0 tools for talent management

 

1.    Time to Productivity (defined as the time it takes an employee to reach desired level of competence in a new role)

2.    Employee Retention / Turnover

3.    Percentage of employees who indicated that they are highly engaged (as of most recent employee engagement surveys)

The Cost of eLearning 2.0

In a recent article by Howard Schechter, eLearning consultant for eLearn Magazine, Mr. Schechter details the cost of implementing the traditional learning management systems.  Here is what he says:

 

“A typical first-year budget may be in the $100,000-$200,000 range for a Fortune 1000 company, while a small business or divisional learning initiative may spend $30,000–$50,000. Smaller learning initiatives cost less because there are fewer concerns, such as tying it in with CRM software."

 

Enterprise level implementations require a lot more design and upfront work (money), as there are more players, issues, and integration. The bigger the project, the more it's going to cost.

This discussion focuses on the concerns of this mid-market, which covers learning systems engaging between 1,000 and 5,000 learners.

 

Mid-Market Costs
The costs of mid-market programs vary significantly, and there are several different costs within, including:

  • initial cost of the LMS, LCMS, and authoring software
  • annual software maintenance (typically 15 percent to 20 percent of the purchase price),
  • software licenses required to run the applications such as SQL Server, Cold Fusion, Crystal Reports, among others
  • "free" systems of the open source genre, such as Moodle.org (costs are different for "free" systems) NOTE:  Please read blog on the real cost of Moodle at http://www.interactyx.com/blog/uncovering-the-hidden-costs-of-moodle
  • the initial and ongoing cost of training people on three or four different software applications,
  • integrating, maintaining, and updating the software and servers, and other IT needs
  • managing multiple vendor relationships
  • having additional employees specialized in content management, instructional design, interactive designers, and authoring tools
  • having subject matter experts

Here's a recent example of costs from a small company that manufactures products and is a leader in its field. The company decided to move its internal and external customer training courses online, about 30 courses in all. The HR manager in charge had experience as a trainer but no background in designing, creating, and managing an online learning initiative. The manager received advice from various vendors and had decided the following were needed:

 

1. A learning management system (LMS): $50,000–$200,000. A cumbersome, home-grown database application was being used to track training, and the company saw the need to upgrade to a commercial LMS. The perception was fueled by 1) cost projections of bringing the home-grown application up to speed to learning standards conformance (SCORM) and open source standards, 2) the perceived need to import a purchased library of 200 courses, and 3) the need for certain features, such as reporting. The LMS packages being evaluated ranged from $50,000–$200,000.

 

2. A learning content management system (LCMS): $50,000–$150,000. The manager did an online search for "content management" and came up with three candidate packages. The prices for this trio ranged from $50,000 –$150,000.

 

3. An authoring tool: $1,500 per workstation. An authoring package that is aggressively marketed and widely used was priced at $1,500 per workstation, and two full-time employees were slated for the authoring positions. Additional costs included initial training, annual upgrades for the software, and sustainment training.

 

The low-end estimate reached approximately $175,000 for the project. The only "moving target" difficult to quantify is the LMS pricing model, which is rarely a fixed cost. Indeed, the cost often escalates as the number of learners on the system increases or on the whim of the LMS company. This can make the annual cost of having an LMS an open-ended budget item, unless it's tightly managed.

 

Sticker shock is not unusual. Initial costs from $100,000–$500,000 have caused many "small implementation" managers to say, "Hold on. All we want to do is offer a few courses online. Isn't there a cheaper way to do this?"

 

The answer is YES WE CAN.

Six weeks of blogging rules that also apply to Twitter - Week 1

Despite all the changes we see in technology and software the “rules” to a successful blog including micro-blogging tends to have remained the same.  Yet, while the rules haven’t changed much a lot of our traffic generation methods have.

 

Each niche is getting more competitive by the day but it still doesn’t mean you can’t stand out from a crowd.  One of the best sites for creating relationships and getting website traffic has actually turned out to be Twitter.  In my next six blogs I will be sharing six common rules which can help with your blogging and also benefit the Twitter users that want to drive more traffic back to your site.

 

Rule 1 – Provide Value

 

That is the single most important reason anyone subscribes to a blog.

 

They get value, whether that value is in the form of humor or in the form of how to make money, that’s what people want.  Instead of getting into blogging to think how you can benefit (mindshare, income, etc.) look at how you can benefit your readers.  How can you make someone laugh, how can you make someone more money or in the case of our site: how you can help someone deliver robust training wrapped in social networking?  If you offer constant value to your readers, you’ll give them an important reason to stick around and keep your info top-of-mind.  Stay tuned for rule #2 next week!

 

Twitter tip: Instead of just linking to your website all the time, why not help people out. Ask people how you can help them or even just inspire people with some motivational quotes.

Uncovering the Hidden Costs of Moodle

Moodle has gained many users over the last few years as universities, colleges, departments and institutions look at trimming their budgets. Clearly many schools simply are saying NO to the high fees charged by Blackboard or other traditional learning management systems.

 

Moodle is a highly capable product and is available as open source software, therefore it’s worthy of consideration for an institution looking to move away from the high annual subscription fees and other hidden costs. 

 

We understand that clearly someone a bit technical can quickly build a moodle site for a small group or classroom. This may suffice for many small implementations. If the technical skills are there and readily available, it’s an entirely reasonable choice.

 

For many institutions however the decision to go to an open source platform in lieu of commercially supported product or SaaS is a much larger and more critical decision, and the costs, ramifications, and viable alternatives should be fully explored.

 

Let’s take a moment to break some representative costs of Moodle and compare them to a subscription to TOPYX®, our recently launched fully hosted learning distribution service that blends the features of a traditional LMS with embedded social networking services and community tools.

 

All of our assumptions are admittedly highly variable, given the wide range of sizes and needs of various institutions, as well as the high level of customisation that may be required for your Moodle Site. We have tried to be as conservative and fair as possible, however I do freely admit a wee bit of bias as I consider our solution such high value.

 

Moodle fees and costs:

 

Initial install and initial setup: First off, someone needs to download, install, and support Moodle, both initially as well as on an ongoing basis. Depending on the size of your organization, this could easily be full time dedicated resource in your IT department. Naturally this varies, institution to institution, but in order to be conservative and fair let`s assume it can be as little as a part time (50%) role for an IT or training professional at an average salary of US$70,000 annually. Clearly there are other personnel expenses involved than just salary, however to keep this simple, we’ll just take salary into account.

 

Site branding: Do you want your Moodle site branded to your school? Again this could vary widely, but it’s probably at the very minimum, an expense of about US$1,000 to do a reasonable job.

 

Customization: Next, would you like to customize how Moodle is used in your school?  Again, it`s very difficult to generalize, but let`s assume this will be approximately a three month project for a similar IT professional.

 

Content: Next, you will have to move your content from it`s your current source over to Moodle. This will be true with whatever product you choose, however, with Moodle, you are on your own unless you contract with a Moodle service provider. Some products may be easier than other to load, and some products offer some challenges to export from.

However, as this will be required whether you use Moodle, TOPYX®, or any other LMS, and on average, the effort will generally be the same.  I’ll omit it from the comparison.

 

Hosting: How will you be hosting Moodle?

At a high level you have two choices: You’ll be able to use and acquire your own hardware and software, or a hosting provider.

Naturally volume will determine the hardware requirements, but at a minimum for proper execution you will want a database server and an application server. Minimum cost for these will be about US$4K each and they’ll probably need updating or replacing every three to four years. Large installations will require much larger servers, backup, etc. That could easily run into a very substantial investment.

 

If you choose a hosting provider, fees run from $25 per month to $600 per month, for the simplest comparison.

 

I’ll simply use the hosting fees of US$3.5K annually and not include outlays for dedicated hardware,  even though that may be what is chosen.

 

Training:  I am seeing many courses available for Moodle implementation and usage from a variety of sources. Moodle Programming, SQL with Moodle, Moodle implementation, etc. The list is quite extensive. Usually for "Train the trainer" and "Implementation Assistance" courses a school should very conservatively consider about US$10K in the first year.

 

Additional Software: As for software, you’ll also require versions of SQL. Yes, you can get them free; however, you’ll also require additional technical staff. Let’s assume open source versions and two weeks annual IT time to build out a conservative estimate, therefore about US$3K.

 

Overall Site Upgrades: Naturally, you will want to be adding functionality to your Moodle site above and beyond the initial basic setup. New features will be requested, new interfaces required, testing to be done and so on. Clearly the modifications are highly variable, however from our own experience we would expect this to be somewhere in the range of ½ of the combined Initial Setup and First Year Customization effort on an ongoing basis.

 

Authentication:  Will you and your IT team be trying to enable single sign-on through your school authentication system. This will be more time and money. Let’s use 1-2 week’s IT time to be fair, or about US$2.0K.

 

Communities and social networking components:

Some tools, such as forums are included with Moodle. Many are not however.  If you wish to integrate social networking sites, such as Twitter, Facebook or LinkedIn you are clearly blazing new trails. This will require endless hours of coding and testing. We know, because we’ve done it!  Because we don’t know if you’ll want it or need it, so to be absolutely fair, I won’t add additional cost for this with Moodle. However, if you are thinking about it, be prepared for a three to four additional person months of effort and cost at a minimum, probably around US$20k. With TOPYX it’s included and part of the platform.

 

Now let’s add up the tab. How much does free open source Moodle cost (US$000s)?

So there you have it. FREE is not really FREE. In fact, Moodle on average could actually cost about $50,000 more than TOPYX in the first year and about $20,000 more each year thereafter.

 

In times where costs count, as well as the numerous additional features that TOPYX provides, you really should have a serious look at TOPYX before making any decision regarding your future online learning program.
